Description
This position is responsible for providing administrative support to the Human Resources Department within the functional areas of performance evaluation management, recruitment and hiring, personnel transactions, professional training and development, and employee relations and communications. Additional responsibilities include: department-wide general administrative duties; document distribution and processing related to performance management; and file and record retention oversight. Work is performed independently under the supervision of the Assistant Director of HR.
Primary Duties
- Oversees the performance evaluation process for AOPC and District Court staff to include: managing the online performance evaluation system, distributing forms and instructions to supervisors, and issuing employee notification correspondence.
- Acts as point of contact for the performance evaluation process regarding technical issues for staff or management. Serves as liaison to IT Department staff to resolve problems, create more efficient processes, and develop new tools for the online performance evaluation tracking system.
- Provides general administrative support for HR Department personnel to include: preparation and distribution of correspondence, databases, and documents.
- Routes/responds to routine inquiries and prepares customized communications, memos, summaries, reports and databases, and maintains confidential management files and records.
- Provides administrative support related to the recruitment and hiring process for AOPC and District Courts to include: troubleshooting the online application process; responding to external queries regarding employment opportunities; updating and creating new hire packets; and preparing offer of employment and welcome letters.
- Maintains files and documents. Ensures contents are organized to conform to established guidelines; updates documents and files according to established procedural schedules.
- Partners with other HR administrative personnel to ensure routine clerical/administrative office duties are performed regularly (i.e. general filing, organization of communal resources, calendaring).
- Serves as the filing and record retention officer for the department. Develops and maintains electronic and hard copy administrative, clerical, and filing procedures as well as retention schedules and purging guidelines.
- Coordinates employee outreach and community programs.
- Provides back-up telephone and clerical support to the department.
Minimum Qualifications
- Bachelor’s degree from an accredited college or university; OR
- Any equivalent combination of experience performing administrative (non-clerical) staff work involving a variety of assignments.
- An equivalent combination of education, training, and / or experience may be considered.
Additional Requirements/Preferences
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, and Access) required.
- Strong organizational and communication (oral and written) skills required.
- Satisfactory criminal background check required.
