Description
This position provides para-professional level administrative support to the Finance Department. Responsibilities include the performance of general administrative duties department-wide; dedicated administrative support functions for the Director and Assistant Director; and financial, payroll and clerical/secretarial duties. Work is performed independently under the supervision of the Assistant Director of Finance.
Primary Duties
- Distributes mail to the appropriate finance staff members.
- Answers the finance and payroll phone line.
- Scans vendor invoices, obtains necessary approvals from internal departments, attaches packing slips and saves documents for accounts payable staff to process.
- Assists with the distribution and coding of corporate credit card business expense vouchers.
- Work with vendors to obtain invoices, answer questions and resolve discrepancies.
- Maintains paper and electronic department filing system.
- Performs administrative duties including scanning, copying, scheduling meetings, assembling meeting materials, proofreading documents, ordering office supplies, and drafting correspondence.
Minimum Qualifications
- Associate degree from an accredited college or university; AND
- Two years of experience performing general administrative duties in a business or government setting.
- An equivalent combination of education, training, and / or experience may be considered.
Additional Requirements/Preferences
- Experience in an accounting department preferred.
- Proficiency in Microsoft Office and Adobe Acrobat Pro required.
- Strong organizational, planning, administrative, and communication (both written and verbal) skills.
- Satisfactory criminal background check required.
