Description
The Information Desk Receptionist manages the Pennsylvania Judicial Center’s Information Desk. The position serves as a switchboard operator daily, coordinating visitor access to specific floors and providing Conference Center support.
Primary Duties
- Ensures that the information desk and surrounding area of the Pennsylvania Judicial Center (PJC) are maintained.
- Welcomes and assists visitors to the PJC and explains building amenities as needed. Guide visitors to the various areas and occupant suites throughout the building. Upon request, notify AOPC employees when a visitor has arrived for meetings. Assist with occasional after-hours events.
- Coordinates visitor access to respective floors and asks visitors to sign the visitor log. Prepares monthly visitor reports and submits them to the Administrative Services Director.
- Provides Information Desk coverage until 5:00 p.m. on a rotating basis when the AOPC office closes early the day before a holiday.
- Maintains laptops, projectors, and other conference center supplies in a secured location and coordinates requests for these items.
- Serves as point of contact for building lost and found items, vending refunds, and First Aid Room access. Maintains logs for each service. Acts as a liaison between the Capitol Police and the PJC for non-emergency issues involving PJC visitors. Assists with the evacuation of visitors during emergencies. Alerts Capitol Police of any suspicious or threatening individuals.
- Serves as a phone operator for AOPC's Harrisburg office; Routes all incoming telephone calls, takes appropriate phone messages when necessary, and locates an employee for whom a call is pending. Serves as help center for callers who have questions or concerns but do not know the person or department with whom they need to speak; Obtains details from callers regarding their specific situation and then transfers or directs phone calls to other court-related entities both inside/outside of the PJC.
- Serves as liaison with PJC occupants and meeting/conference attendees to ensure all aspects are coordinated. Works with Facilities to resolve daily housekeeping, maintenance, and HVAC issues in conference rooms and the Visitor Center and requests card reader deactivations.
- Manages the electronic calendars for shared conference rooms and analyzes meeting availability. Provides weekly events schedule to Capitol Police.
- Delivers conference attendees' telephone messages, emails, and fax correspondences. Assists with meeting registration, makes copies for presenters, and arranges transportation.
Minimum Qualifications
- High school diploma or equivalent PLUS
- One year of experience performing routine clerical tasks.
- An equivalent combination of education, experience, and/or training may be considered.
